Booking Deposit

• Reservation/booking fees are billed once upon signing the rental agreement.
• The booking fee varies depending on the selected room and tenancy.
• More than 30 days before move-in, the booking fee is excluded from the refund.

Security Deposit

• A security deposit may be required depending on the residence and the tenant's profile.
• The security deposit is generally equal to one month's rent, including charges.
• The exact amount is displayed during the application process, in the contract, and in the tenant portal.
• The deposit is refunded after move-out, subject to a move-out inspection.
• A full refund is provided if there is no damage or outstanding payment.
• Refund timeline:
• Within 1 month if no damage is found.
• Within 2 months if damage is found.
• Deductions may be made for:
• Damage.
• Cleaning not carried out (automatically retained for coliving and private apartments).
• Personal items left behind.

Pay In Instalment

• Rent is paid monthly.
• Rent is due on the 1st of each month.
• Payment can be made until the 5th of the month before payment reminders are sent.
• The first invoice is issued on the contract start date.
• Monthly invoices are issued through the tenant portal.
• Direct debit payments are processed on the 1st of the month, or by the 3rd of the month at the latest.
• The rent payment date cannot be changed once direct debit is activated.

Guarantor Requirement

• A guarantor is not always mandatory.
• The guarantor requirement depends on:

• Applicants without a fixed income.
• Applicants whose income is less than 2.5 or 3 times the rent, depending on the property.
• External guarantor providers accepted include:
• SmartGarant.

Additional Fees

• A room change fee may apply if the tenant changes rooms.
• The administrative/booking fee typically ranges from €500–€600, depending on the room type, lease duration, and property.
• Home insurance is mandatory before move-in, and proof of insurance is required.

Delayed Arrivals & travel restrictions

• If you are unable to travel due to government-imposed travel restrictions, please contact the team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

• If your course has been cancelled by your university, please reach out to the team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

• If you have deferred your studies, please contact the team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Cooling Off Period

• There is no cooling off period for this property.

No Visa No Pay

• A visa refusal does not automatically entitle the tenant to a full refund of all fees paid.
• After the contract start date, the tenant remains liable for amounts due under the lease even if a visa is not obtained.

Early termination by students

• After the contract start date, cancellation is no longer possible.
• The tenant must follow the lease termination conditions, including the notice period and minimum stay duration.
• The tenant must continue paying the amounts due under the lease even if the cancellation is beyond their control.

Other cancellation policies

• Before signing the contract:
• The tenant can cancel the reservation at any time free of charge.
• After signing the contract but before the contract start date:
• Cancellation is allowed.
• Cancellation fees or retention of processing/entry fees may apply if they have already been paid.
• Fees vary depending on the accommodation and the timing of cancellation.
• Modification before signing the contract:
• The tenant can request changes to the accommodation, arrival date, or room type at any time.
• Modification after signing the contract:
• Changes to the accommodation, unit, or lease start date are not permitted because the contract is binding.
• Colonies may assist with requests where possible.
• Fees may apply if a modification requires a new contract.

Room allocation

• Students can indicate specific room number or location preferences during the booking process, and the team will accommodate these preferences wherever possible, based on availability.

Check in guide

• Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email. This communication will include the steps required to select a check-in date and time slot, complete necessary documentation, and settle any outstanding payments prior to arrival.

Renewal policy

• Students who wish to extend their stay can contact the team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

Early check in policy

• Early check-in requests can be shared in advance with the team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.
