Booking Deposit

• For 2026/27 AY:
• A £200 advance rent payment must be paid before collecting the keys.
• The payment is deducted from the first rent instalment.
• The advance rent payment is refundable if cancellation occurs within the 48-hour Initial Cancellation Period.

Guarantor Requirement

• A guarantor is required for instalment payments.
• The guarantor must:
• Be UK-based.
• Be over 18 years old.
• Have a UK residential address.
• Be in full-time employment or be a homeowner.
• Guarantor details and supporting documentation must be provided during booking.
• A Guarantee Agreement must be signed and returned.
• Third-party guarantors are also applicable.
• Note: The property will cover the cost of a third-party guarantor.

Cooling Off Period

• For 2026/27 AY:
• A 48-hour Initial Cancellation Period is available from completion of the booking process.
• The cancellation request must be received before the resident moves into the accommodation.
• Cancellation must be submitted in writing by email.
• SMS cancellation requests are not accepted.
• The notice must clearly state that the resident wishes to cancel the accommodation booking.
• Any advance rent payment received will be refunded.
• For 2025/26 AY:

• For 2025/26 AY:
• Cancellation may be considered if a UK visa application is refused.
• Evidence of the visa refusal must be provided with the written cancellation request.
• Requests are assessed on a case-by-case basis.
• If approved, the £200 booking fee and any pre-paid rent will be refunded.

No Place No Pay

• For 2026/27 AY (First-year students only):
• Applies if a prospective student does not achieve the required entry grades for their preferred university and the offer is withdrawn.
• Also applies if the student exceeds expected grades and chooses to attend a different university.
• Required evidence includes either a rejection letter or UCAS confirmation of not meeting entry requirements, or proof of acceptance at a new university through UCAS Adjustment.
• Documents must be received within 7 calendar days of results being published.
• Documents must be submitted in writing.
• If approved, the Tenancy Agreement will be cancelled and any advance rent payment refunded.
• For 2025/26 AY:
• Cancellation may be considered if a prospective student’s first-choice university or higher education institution withdraws the offer because entry requirements were not met.
• Evidence must be provided with the written cancellation request.
• Requests are assessed on a case-by-case basis.
• If approved, the £200 booking fee and any pre-paid rent will be refunded.

Early termination by students

• For 2026/27 AY:
• After the Initial Cancellation Period, there is no automatic right to cancel.
• For 2025/26 AY:
• After the Initial Cancellation Period, there is no automatic right to cancel.

Replacement Tenant Accepted

• For 2026/27 AY:
• The resident is responsible for finding a suitable replacement tenant.
• The replacement tenant must be acceptable to Acis Students and willing to enter into a tenancy agreement for the accommodation.
• Prospective tenants are generally unsuitable if they already rent from Acis Students or have another accommodation contract.
• Acis Students will only assist in finding a replacement if all rooms on site are already let and there is a waiting list.
• Release from the booking occurs only after the replacement tenant completes the booking process.
• If release occurs before move-in, any advance rent payment will be refunded less a £50 administration charge.
• If release occurs after move-in, the resident remains liable for rent up to and including the release date, and only prepaid rent for the period after the release date will be refunded less a £50 administration charge.
• For 2025/26 AY:
• The resident is responsible for finding a suitable replacement tenant.
• The replacement tenant must be acceptable to Acis Students and willing to enter into a tenancy agreement for the accommodation.
• Prospective tenants are generally unsuitable if they already rent from Acis Students or have another accommodation contract.

Extenuating Circumstances

• For 2026/27 AY:
• Cancellation may be considered if the resident is unable to take up their university place due to illness.
• Supporting evidence must be provided with the written cancellation request.
• Each request is assessed individually.

Other cancellation policies

• For 2026/27 AY:
• Bookings can only be cancelled in the circumstances set out in the policy.
• If a cancellation request is granted, the resident will receive email confirmation of the cancellation date.
• There is no cancellation fee when cancelling within the 48-hour Initial Cancellation Period.
• If cancellation is requested after the Initial Cancellation Period, the accommodation provider may charge up to the landlord’s loss and reasonable administration costs, usually £50 plus any rent arrears or damages.
• No cancellation fee is charged if the accommodation provider refuses the cancellation request.
• Transfer requests before the tenancy starts incur a £45 administration fee.
• Transfer requests during the tenancy incur a £50 administration fee.
• No transfer fee is charged if the room transfer is refused.
• For 2025/26 AY:
• Bookings can only be cancelled in the circumstances set out in the policy.
• If a cancellation request is granted, the resident will receive email confirmation of the cancellation date.

Delayed Arrivals & travel restrictions

• If you are unable to travel due to government-imposed travel restrictions, please contact the team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

• If your course has been cancelled by your university, please reach out to the team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

• If you have deferred your studies, please contact the team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Check in guide

• Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email. This communication will include the steps required to select a check-in date and time slot, complete necessary documentation, and settle any outstanding payments prior to arrival.

Renewal policy

• Students who wish to extend their stay can contact the team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

Early check in policy

• Early check-in requests can be shared in advance with the team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.

Guest policy

• Guests may stay with you where permitted by the property. Always notify the property 1 to 2 weeks in advance to complete the required formalities.

Minimum age

• You must be 18 years or older on your move-in date to stay at this property. Please ensure you meet the age requirement before booking. In case you do not meet the minimum age requirement, inform the team while enquiring with us, and we can suggest you accordingly.

Student eligibility

• This accommodation is exclusively available to students. Non-students are not eligible to stay at the property.
